Access Control & Permissions

Role-Based Access Control (RBAC)

The Knowledge Library implements comprehensive RBAC to ensure secure and controlled access to your data.

Access Levels

Configure who can access and collaborate on your libraries:

  • Public: Open access to all users on the platform
  • Workspace Level: Available to all members within your specific workspace/organization
  • Individual Users: Granular control over specific user access within your organization
  • Owner: Full administrative control and management rights

Managing Access

  1. Navigate to your library's "Access" tab

  2. Under "Manage Access", configure:

    • Access Level: Choose from Public, Workspace Level, or Individual Users
    • User Selection: When using Individual Users, add or remove specific users from your organization
    • Workspace Settings: For workspace-level access, all organization members gain access automatically
    • Collaboration Rights: Define what actions users can perform within their access level
  3. Click "Save" to apply changes

Permission Types

  • View Only: Read access to library content
  • Contributor: Can add new content and modify existing items
  • Administrator: Full control including access management
  • Owner: Complete administrative privileges

Security Best Practices

Access Management

  • Principle of Least Privilege: Grant minimum necessary access
  • Regular Reviews: Periodically audit user permissions
  • Role Segregation: Separate administrative and operational roles
  • Access Logging: Monitor who accesses what content

Data Protection

  • Sensitive Content: Use individual user access for confidential information
  • Compliance: Ensure access controls meet organizational requirements
  • Audit Trails: Maintain records of access changes and content modifications
